Life cycle of a permit

SmartGov uses Process States which are associated with statuses to help track where the permit is in its life cycle. There are different requirements that must be met for the permit to move to a new process state. Process states cannot be changed or edited in SmartGov, however a jurisdiction can configure corresponding statuses that better match their business process.

Pending

Statuses in the Pending Process State may include Pending Approval, Received, and Submitted.

 

Certain requirements must be met in order for a permit to move to the Pending Process State.

  • The Permit must be created through SmartGov or the Citizen Portal.
  • The Permit number has been assigned. *Note: This happens automatically once the permit is created.

Technically Complete

Statuses in the Technically Complete Process State may include Application Complete and Under Review.

 

Certain requirements must be met in order for a permit to move to the Technically Complete Process State.

  • All Submittals must be received except those submittals marked as deferred.

Approved

An example of a status in the Approved Process State may include Approved.

 

Certain requirements must be met in order for a permit to move to the Approved Process State.

  • All Submittals must be received except those submittals marked as deferred.
  • Reviews marked 'Required for Approval' are approved through the Workflow tab.
  • All Cycles are complete.

Ready

An example of a status in the Ready Process State may include Ready for Issue.

 

Certain requirements must be met in order for a permit to move to the Ready Process State.

  • All Submittals must be received except those submittals marked as deferred.
  • Reviews marked 'Required for Approval' are approved through the Workflow tab.
  • All Cycles are complete.
  • Contractors are current.
  • Fees should be calculated.

Issued

An example of a status in the Issued Process State may include Issued.

 

Certain requirements must be met in order for a permit to move to the Issued Process State.

Finaled

Statuses in the Finaled Process State may include Finaled, Temporary C of O (Certificate of Occupancy), Warranty Period, Bond Period, and Appeal Period.

 

Certain requirements must be met in order for a permit to move to the Finaled Process State.

  • All Submittals must be received except those submittals marked as deferred.
  • Reviews marked 'Required for Approval' are approved through the Workflow tab.
  • All Cycles are complete.
  • Contractors are current.
  • Fees are paid unless they are marked as deferred.
  • Inspections are complete unless they are marked as deferred.

Closed

Statuses in the Closed Process State may include Closed and Certificate of Occupancy.

 

Certain requirements must be met in order for a permit to move to the Closed Process State.
