Creating and processing case requests

Code enforcement case requests give jurisdictions the ability to log and track issues that may or may not be a code enforcement issue. Issues reported through the Citizen Portal will generate a case request in SmartGov. A SmartGov user may also create a case request. You will be able to process the case request within SmartGov or the SmartGov mobile app once it has been created.

How to create a case request

  1. Click Code Enforcement in the navigation menu, then select Create Request/Case.
  2. Begin typing or click the magnifying glass icon () to view and select the appropriate Case Type, if applicable.
  3. Select whether the case request should be Assigned To a User or Group. Begin typing or click the magnifying glass icon () to view and select the assignee.
  4. Check the Information Only Request box if the reporter is requesting information from the jurisdiction, but not necessarily reporting an issue. *Note: Checking this box will make the Reporter Name field required.
  5. The Submitted On date and Time will default to the current date and time. Adjust these as needed.
  6. Enter the Reporter Name and any address information you have, including Primary Phone and Email Address. *Note: If a SmartGov user is entering the case request, this field will default to the user that is logged in.
    • If the reporter wishes to remain anonymous, check the Anonymous Reporter box. This will allow you to create the request without listing a Reporter Name.
  7. Enter the Location of the issue. You must have at least General Location, Closest Intersection, or Address filled in on this section.
  8. Click Create Request.

 

Processing a case request

Once a case request has been created through either SmartGov or the Citizen Portal, additional fields will populate on the case request. The case request can be processed as a request or converted to a code enforcement case if it is, in fact, an issue.

Other case request options

  • Decision Due Date: This will display as the due date for the case request on the user's To Do list. This field is determined by the local jurisdiction values configured by your SmartGov administrator.
  • Verify Address and Coordinates: Click this button to match the entered address to the Esri address service.
    • Click Use Address as Entered to keep the address as it was originally entered on the application.
    • Click the Address Only button to copy the appropriate Esri address to the Site Address fields.
    • Click the Coordinates Only button to copy the Latitude and Longitude coordinates of the Esri address to the permit application.
  • Click Save if any updates are made.

Closing a case request

  1. Click Code Enforcement in the navigation menu, then click Search Requests.
  2. Click the Request # of the record you would like to process.
  3. Change the Status of the case request to a closed status.
  4. Enter a Resolution for the case request.
  5. Adjust any other fields, if necessary.
  6. Click Save.

 

 

Converting a case request

  1. Click Code Enforcement in the navigation menu, then click Search Requests.
  2. Click the Request # of the record you would like to process.
  3. Begin typing or click the magnifying glass icon () to view and select the appropriate Case Type if it has not already been selected.
  4. Select whether the Assignment Type should be User or Group. Begin typing to click the magnifying glass () icon to view and select who the code enforcement case should be Assigned To.
  5. Adjust any other fields, if necessary.
  6. Click Convert to Case.
  7. If a Site Address has been listed, click the magnifying glass icon ()  and click the parcel Address that should be associated with the case. This will generate an alert on other records within SmartGov that are associated with this parcel.
  8. Click Save.
