Licensing setup: Main tab

The Main tab allows users to view and update the general configuration settings of the license type such as parcel requirements, licensing periods, and portal options. *Note: The information on this tab reflects the information entered when the license type was created.

Main tab options

  1. Enter the following information *Note: The Name, Description, and Department field are the only required fields.:
    • Name: This required field is what is displayed on a license's main tab as well as the information section across the top of the license as a reference for the SmartGov user processing or viewing a license of this type.
    • Description: This required field should be a brief description of what this license type is used for within your jurisdiction. *Note: This description will also populate on the Citizen Portal.
    • Department: Select the department this license type should be associated with from the drop-down menu. SmartGov users assigned to a particular department will see their department's license types when searching and creating licenses. Additionally, citizens applying for a license on the Citizen Portal can filter by department when selecting a license type.
    • Contractor Type: Check this box if this is a contractor license type.
    • Business License: This box will be checked if the license type is a business license type. *Note: This is configured when creating the license type and cannot be unchecked if a license of this type exists and has contacts associated with it.
    • Parcel Required: Check this box if a primary parcel should be required to create licenses of this type.
    • Subject to Parcel Conditions: Check this box if you would like licenses of this type to be subjected to conditions configured on any associated parcel(s).
    • Number Pattern: This allows the SmartGov administrator to manage the number sequence on licenses of this type.
      • You can click the additional information button () to view the Number Pattern Legend which contains a variety of examples on how to configure a license type's number pattern.
    • License Period: This value determines the length of time for which the license is valid. Use the text field to enter a number value and use the drop-down menu to select whether the value is in Days, Months, or Years.
    • Standard Recurring Date: Use the first drop-down menu to select a Month and the second drop-down menu to select a Day on which licenses of this type are renewed.
    • Expiration Grace Period: This value determines the amount of time after a license of this type is expired that the licensee can still perform work. Use the text field to enter a number value and use the drop-down menu to select whether the value is in Days, Months, or Years.
  2. Click Save.

 

Portal options

  • Publish on Portal: Check this box to allow users with a Citizen Portal account to search for and view licenses of this type within the Citizen Portal.
  • Accept Portal Applications:
    • Check the Initial box to allow users to apply for an initial license of this type through the Citizen Portal.
    • Check the Renewal box to allow users to renew a license of this type through the Citizen Portal.
  • Portal Renewal Period: This field allows you to configure the number of days prior to the license expiration that Citizen Portal users will be able to renew their license online. Use the text field to enter a number value and use the drop-down menu to select whether the value is in Days, Months, or Years.
  • Allow Issue on Portal:
    • Check the Initial box to allow licenses of this type to be issued through the Citizen Portal as long as all requirements have been met and fees have been paid.
    • Check the Renewal box to allow renewal licenses of this type to be issued through the Citizen Portal as long as all requirements have been met and fees have been paid.
  • Allow Payments on Portal: Check this box to allow users with Citizen Portal accounts to pay license fees for this license type online.
  • Click Save.

 

Additional license actions

  • Inactivate: Click this link to no longer allow licenses of this type to be created in SmartGov or on the Citizen Portal. This will remove this license type as a selectable option when creating new licenses.
  • Audit: Click this link to see a list of all changes made to the license type.
    • Select an option in the drop-down menu, such as Detail or Case Fee, if you would like to only view changes that have been made to that specific option.
  • Copy: Often times multiple license types are needed with similar configurations. After setting up the first license type, you can easily copy the configurations from that license type to a new one.
    1. Click the Copy button.
    2. Enter the New Name and the New Description for the new license type.
    3. Click the Copy button. The new license type will be created with the same configurations of the original license type.
