Inspection limits

Inspection limits can be configured to limit the number of inspections scheduled for a specific day by department and module. From this page, you have the option to create an inspection limit for the jurisdiction as well as for specific departments and modules within those departments. This will prevent citizens from scheduling inspections for dates that have reached the limits set in SmartGov.

Creating an inspection limit for the jurisdiction

A jurisdiction inspection limit is used when you do not need to have inspections limits set by departments or modules within a department. Any limits set here will apply through all departments and modules set up within SmartGov. For example, if a jurisdiction only allows 20 inspections a day, regardless of the department, they would set their Daily Inspection Limit to 20 under the Jurisdiction Settings.

 

  1. Click Administration from the navigation menu, then select Inspection Setup.
  2. Click Inspection Limits.
  3. Click Edit Jurisdiction Settings.
  4. Use the Calculate Inspections By drop-down menu to select either Number of Inspections or Hours.
  5. Enter the maximum number of inspections or hours for the Daily Inspection Limit.
  6. Check the Allow Same-Day Scheduling box if you would like portal users to have the ability to request an inspection on the same day they are submitting their request.
  7. Enter the Hours Per Inspection. *Note: This field will only display if you have selected to calculate inspections by hours.
  8. Use the Request Time Cut-Off field to enter the time at which you would like to prevent additional inspections from being requested for the next business day. *Note: If the Allow Same-Day Scheduling box is checked, this will prevent portal users from requesting an inspection after this cut-off time on the current day. After this cut-off time, the next business day will be the first available date to request an inspection.
  9. Use the Cancellation Time Cut-Off field to enter the last available time to cancel an inspection for the current day.
  10. Click Add to include any exceptions for the jurisdiction inspection limit.
    1. Select the specific Date on the calendar.
    2. Enter a new Inspection Limit.
    3. Select whether this exception Does Not Repeat or if it repeats Weekly on certain days of the week.
    4. Click Save.
    5. Repeat this process to add any additional exceptions.
  11. Click Save.

 

Creating an inspection limit for a department

A department inspection limit is used when different departments within SmartGovrequire unique inspection limits. Any limits set here will apply to the specific department they are configured for. A department without a configured inspection limit will default to the jurisdiction inspection limit.

 

  1. Click Administration from the navigation menu, then select Inspection Setup.
  2. Click Inspection Limits.
  3. Click Create beside the department name you wish to configure inspection limits for. *Note: If you click Create for the department and then click the Back button without saving, SmartGov will automatically copy the jurisdiction inspection limits to the department. You can delete these changes by clicking Edit beside the department and then clicking Delete.
  4. Select either Number of Inspections or Hours from the Calculate Inspections By drop-down menu.
  5. Enter the maximum number of inspections or hours for the Daily Inspection Limit.
  6. Check the Allow Same-Day Scheduling box if you would like citizens to have the ability to request an inspection on the same day they are submitting their request.

Creating an inspection limit for a module within a department

An inspection limit for a module within a department is used when a department utilizes multiple modules within SmartGov that require different inspection limits. For example, a jurisdiction may have a single department that utilizes both the Permitting and Licensing modules and requires a different inspection limit for each module. A module within a department without a configured inspection limit will default to the department inspection limit.

 

  1. Click Administration from the navigation menu, then select Inspection Setup.
  2. Click Inspection Limits.
  3. Click Create beside the department name, then click Create for the specific module you wish to configure inspection limits for. *Note: If you click Create for the module and then click the Back button without saving, SmartGov will automatically copy the department inspection limit to the module. You can delete these changes by clicking Edit beside the module and then clicking Delete.

Editing an inspection limit

Once an inspection limit has been set up in SmartGov, you have the ability to edit or delete the limit as well as add additional exceptions.

 

  1. Click Administration from the navigation menu, then select Inspection Setup.
  2. Click Inspection Limits.
  3. To adjust the default inspection limit for your jurisdiction, click Edit Jurisdiction Settings.
  4. To adjust the default inspection limit for a department, click Edit beside the department name.
    • Click Delete to remove the inspection limit from the department.
  5. To adjust the default inspection limit for a module within the department, click Edit beside the module name within the department to adjust the inspection limits for that module within the department.
    • Click Delete to remove the inspection limit from the module within the department.
  6. Click Save if any changes are made.
