Work Requests Created from CapitalForecastDirect Needs

The CapitalForecastDirect and Asset Essentials integration will allow CapitalForecastDirect Needs to be submitted as Asset Essentials Work Requests. This allows for a more efficient process to plan current and future facility capital investments based on Asset Essentials operational expenses. A need must be created from within CapitalForecastDirect in order for it to be submitted as a work request in Asset Essentials. If updates are made to any Sites, Locations, Buildings, or Assets in Asset Essentials, you will want to run a data population in CapitalForecastDirect to ensure the updated information aligns with what is listed in CapitalForecastDirect. *Note: Not all clients are eligible for this integration. How to Manage a Work Request Created from a Need

  • Be sure you are logged in to Asset Essentials before managing your work request that was created from a need in CapitalForecastDirect.
  • Filter your work order list to navigate to the appropriate work request.
    • Click the Work Orders menu icon, then select Work Orders.
    • Click the Columns button.
    • In the window that displays, select Work Order Fields.
    • In the list of fields, check the box next to Generated From and Generated From ID and click Apply. *Note: The Generated From ID field displays the need ID associated with the work request.
    • In the Generated From column, click the drop-down menu and select CapitalForecastDirect.
    • Continue to filter the work order list to find and select the appropriate work request.

We recommend creating a View for your work order summary list that will allow you to quickly navigate to all of your CapitalForecastDirect work requests.

  • Click the Columns button.
  • In the window that displays, select Work Order Fields.
  • In the list of fields, check the box next to Generated From, Generated From ID and any other important fields you would like to see on your summary view. *Note: The Generated From ID field displays the need ID associated with the work request.
  • Click Apply.
  • In the Generated From column, click the drop-down menu and select CapitalForecastDirect.
  • Click the View drop-down menu and select New.
  • Enter a Name for the View, such as CapitalForecastDirect Requests.
  • If you would like your new CapitalForecastDirect view to be the primary view that displays automatically when navigating to the work order summary page, check the Set as My Default box.
  • If you would like other users to access your new CapitalForecastDirect view, check the Available to others box.
  • Click OK at the top of the window to save your View.
  • The work request will have various fields populated with information based on the details recorded on the need in CapitalForecastDirect.
    • Title: This field will match the Description on the need.
    • Work Requested: This field will include information recorded in the Description on the need.
    • Work Source: This section will include the Location, Site, or Asset that is mapped from the CapitalForecastDirect Location, Building, or Equipment based on how the mapping is established with this integration.
    • Generated From: This field will confirm that the work request came from CapitalForecastDirect and provide you with the need ID associated with the work request.
    • Created: This field will indicate the date and time the work request was created from the need.
    • Estimated Cost: The value in this field will match the Estimated Cost on the need.
    • Comments: This section will include additional important information from the need, such as the CapitalForecastDirect user that created the need, the Classification, and the Priority. *Note: The Asset Essentials user processing this work request will need to manually assign it to the appropriate user.
  • Review the work request and record additional details as needed.
  • Process the work request based on your Asset Essentials workflow in order to approve and assign the work order.
  • To view and manage the need associated with the work order, you will need to log in to CapitalForecastDirect and search for the need. *Note: There are no fields on the need in CapitalForecastDirect that will be updated automatically. The need must be managed and completed manually in CapitalForecastDirect.

How to Report on Work Orders Created from a Need

  • To report on the work orders created from needs in CapitalForecastDirect, start by filtering your work order list to show work orders from CapitalForecastDirect.
    • Click the Work Orders menu icon, then select Work Orders.
    • Click the Columns button.
    • In the window that displays, select Work Order Fields.
    • In the list of fields, check the box next to Generated From and Generated From ID and click Apply. *Note: The Generated From ID field displays the need ID associated with the work request.
    • In the Generated From column, click the drop-down menu and select CapitalForecastDirect.
    • You can continue to filter the work order list, if necessary, to help narrow your report results.
  • Click Print/Report at the top of the page and select Report.
  • Choose the appropriate Report Type from the drop-down menu based on the data you need to pull and click OK.
