Submitting tasks as MaintenanceDirect work orders

The Event Manager and MaintenanceDirect integration will allow Event Manager tasks to be submitted as MaintenanceDirect work orders. This creates a seamless communication experience between your departments which allows for work to be completed quickly and efficiently. *Note: Only certain clients are eligible for this integration. To learn if you are eligible, contact Client Services.

How to submit a task as a work order

You can submit a task as a work order in three ways: from the task creation window, directly from the task list, or as part of a bulk action.

  1. Be sure you are logged in to Event Manager before submitting a task as a work order.
  2. Click Tasks from the navigation menu.

From the create a task window

  1. Click the Add a Task button at the top of the page.
  2. In the window that appears, check the Create a Work Order for this Task box. *Note: Once this task is saved, and a work order has been created in MaintenanceDirect, you will no longer be able to delete this task.
  3. Fill in the necessary Task Details. *Note: The Task Name, Task Description, and Task Type fields are all required.
  4. Click Save. The task will be added to the task list, and the work order will be sent to MaintenanceDirect.

 

 

  1. Once the work order has been created, the Work Order ID and Work Order Status will display on the task. *Note: The Work Order ID and Work Order Status are the only fields that will sync from MaintenanceDirect to Event Manager.
  2. If you need to manage the work order in MaintenanceDirect, you will need to log in to MaintenanceDirect and search for the work order associated with this task.

From the task list

  1. Search or filter the task list to find the task that should be submitted as a work order.
  2. Click the Create Work Order button on the task.
  3. Once the work order has been created, the Work Order ID and Work Order Status will display on the task. *Note: The Work Order ID and Work Order Status are the only fields that will sync from MaintenanceDirect to Event Manager.

  4. If you need to manage the work order in MaintenanceDirect, you will need to log in to MaintenanceDirect and search for the work order associated with this task.

 

From bulk actions

  1. Search or filter the task list to find the tasks that should be submitted as work orders.
  2. Check the box next to each task that should be submitted as a work order.
  3. Click on the Bulk Actions drop-down menu and then select Bulk Create Work Orders.
  4. Once the work orders have been created, the Work Order ID and Work Order Status will display on the tasks. *Note: The Work Order ID and Work Order Status are the only fields that will sync from MaintenanceDirect to Event Manager.
  5. If you need to manage the work orders in MaintenanceDirect, you will need to log in to MaintenanceDirect and search for the work orders associated with these tasks.

 

Tracking work order progress from a task

You can track a MaintenanceDirect work order's progress by monitoring the status of the task in Event Manager. As the work order moves from a new request to a completed work order, changes made to the work order status will automatically update the status of the task.

Reporting on tasks submitted as work orders

You can report on tasks that have been submitted as MaintenanceDirect work orders.

  1. Click Reports from the navigation menu.
  2. Click the Create A Report button.
  3. Select the Tasks report type from the 'Reporting on' drop down menu in the Filters panel.

  4. Select whether you would like to display this report in Card View or Table View.

 

 

  1. Click Change next to the Work Order Number filter under the Filters section.

  2. Enter the appropriate work order number. *Note: The work order number entered here should match the Work Order ID from MaintenanceDirect.
  3. If you need to display additional tasks associated with work orders, click Add Term and enter the appropriate work order number.
  4. Click Apply to refine the report results. This will adjust the data that displays.

 

 

  1. Repeat this process with any additional filters you would like to apply to the report results.
  2. You can click the Reset button at any time to restore the report results to default.
  3. Once you have finished editing this report, you can save it as a template, print the report, or export it.
    • Print: Click this button to open your computer's print window and print out a physical copy of the report.
    • Export: Click this button if you would like to export the report as a PDF or CSV document.
      • Choose either PDF or CSV.
      • Click Download. The report will be downloaded to your computer as the selected file type.
