2017 Release Notes
Enhanced Email Notifications on Transportation App
If you're using our add-on Transportation App, there used to only be email notifications for the person creating the trip, and drivers. We've significantly enhanced this in the following ways:
- Resident passengers added to trips are automatically added to get email notifications if they have an email in their profile. You'll see their names appear in the email notification section once the trip is saved.
- You can add other staff members to the notification list on the fly.
- Every email comes with an ICS file attached. This means you can add the trip to your calendar app to get reminders when it's upcoming.
Look for the new E-mail Update section on the right hand side of the trip form.
All trip emails will have an ICS file attached that you can open to add to your Exchange, Google Calendar or Apple Calendar app.
Compliance & Risk Features Added to Worx IQ
For users of our Worx IQ analytics app, two new work order options have been added to your work order widgets.
You can now compare and filter on Compliance work orders to get insights on just things related to compliance.
You can now compare and filter on work orders tagged as High Risk that are linked to high risk assets.
Security App Add Note from Desktop App
In our add-on Security App, you can now add a security note from the desktop app through your Add menu.
Security App Quicker Resolve Action in Incidents
Lets say you have an incident where the last and final outcome is that you've called EMS. Now you can specify that Outcome Type and use the option 'Is This Incident Resolved or Cancelled' to help you immediately mark the incident complete all in one action.

Fixed issue with mobile work orders where multiple workers on a single work order could all run timers, but the last person to click Complete would get a stuck timer and the work order wouldn't get marked complete.
Support for Bluetooth Barcode Scanners!
We've just rolled out support for Bluetooth barcode scanners on our mobile app. Bluetooth barcode scanners add another option for faster and more reliable scanning, especially for barcodes that might be out of reach. Now, wherever you'd normally see a Scan Barcode button, you'll now see two options:

Tip: When looking at purchasing Bluetooth barcode scanners, if you're using WorxHub generated barcodes, you can get away with a scanner that only supports 1D barcodes. However, if you're using 3rd party QR codes, you'll need to get a scanner that also supports 2D barcodes.
Security App Incident Listing Report
If you're getting started with our all new Security App, we've just added a new report under Reports > Security > Incident Listing. This is a great report for review and analysis of your open or historical incidents. Flexible filters for date range, category and last outcome type as well as the ability to show Outcome History make this a powerful reporting option.
Security App Sign-Off on Log Review
As your security staff shifts change, it's important that the staff on the new shift review details of recent events such as incidents, notes and maintenance requests submitted into other departments. To help with this process, our mobile app Security Dashboard provides an easy option to Review Logs.
Once you're reviewed the summary of events you can tap Sign-Off in the top right and add your signature right on screen.
As a manager back on the desktop app, you can view all the sign-offs by staff to see who's properly reviewed and signed-off.
Asset Filter Table Has New Department and Barcode Column
In many areas of TheWorxHub a pop-up asset table is used for filtering asset records. You will see this pop-up when filtering assets to print barcodes, batch edit assets, or on asset report filter pages. We've added two new columns for Department and Barcode to this table to make it easier to identify and filter your selections.

WorxIQ Industry Benchmarks
We're excited to announce our launch of our first round of industry benchmark tools embedded in WorxIQ. We've included work order data benchmarks for:

Note that the last 4 benchmarks above apply a factoring logic so that the biggest sites compare fairly to the smallest sites. If you're a senior living community, it's best to use the Per Resident Unit factor. We are working on backfilling customer square footage to benchmarks for all senior living and hospital clients as well so everyone can benefit from an extra Per Square Foot benchmark.
To see a benchmark you must:

You can even open your advanced filters and begin narrowing down your data to see benchmarks for very specific things such as:
- Avg Time for Plugged Toilet
- % Done on Time for Resident Source of Work
- Avg Days Overdue for Planned Work
The possibilities are endless!
Require Work Order Tasks to be Marked Complete
This next feature applies to only work orders generated from recurring PM or scheduled work orders. If your recurring work order has a task list, you can flag that work order to prevent it from being marked complete until all task checkboxes have been checked. You'll find this setting in any scheduled work order or scheduled work order template that has a task list.
Now anytime a work order is created from the recurring schedule, it will require all task lists to be complete before marking the work order complete. In the desktop app you'll be stepped through the work order completion wizard to complete the tasks step.
Your work order dashboard lists will also show you how many tasks are on each work order now and how many are still incomplete.
The mobile app also includes logic to prevent you from completing without checking all tasks and it will navigate you right back to your task list if you attempt to complete without all tasks checked off.
Tip: So now that we have this new feature, you might want to update all scheduled work orders with task lists to be configured with this. We recommend that you:
- Go to Actions Tab > Scheduled WO Updates
- Filter on Has Task List, click Search Now
- Put a checkmark next to all records you wish to update
- Click the Batch Edit link in the top left of your search results
- In the pop-up form, click the Can't Complete WO Until All Tasks Complete checkbox
Asset Names Now Show on Work Order Dashboard Lists
Whenever you have a work order linked to one or many assets, the asset description will now show on all work order lists. The asset description is also searchable from your main app dashboard search.
For technicians that spend most of their time in the mobile app, you'll also see the asset description on work order lists there.
Filter Mobile Work Order Lists on Corrective vs PM
When you're looking at a work order list in mobile, you can click your Filter icon in the top right, then select to see only Demand/Corrective or only PM for that list.
Automatically Link Email Surveys to Work Requests
If you own our add-on Surveys & Inspections app, you can now create a rule in your Settings area that can automatically link a survey to be emailed out to a work requestor after one of their submitted work orders gets marked complete.
In Settings > Surveys > Work Order Surveys you can define a rule to specify how frequently you want to survey your requestors.
Here are a few tips:
- You can set different rules for each department you operate.
- Any time you change the rule in settings, the counter resets to zero.
- The counter increments only when a work request is accepted and becomes a work order.
- The email survey goes out to the user who submitted the request so long as they have a valid email address in their staff profile.
Edit Work Order Descriptions When Triggering Work from Failed Survey Questions
In our add-on Surveys & Inspections app, you can create pass/fail inspections where a failure can trigger a corrective action work order from a work order template. Now you can edit the work order details before that work order gets triggered to add more detail specific to the current circumstance.
Require Corrective Action on Fail on a Question-by-Question Basis
In our add-on Surveys & Inspections app, you could configure a survey to require corrective action on all question failures. We've added more control and granularity to allow you to pick and choose which specific questions require you to create a corrective action record.
12-Month Trend Chart Added to Rounds Dashboard
If you're a user of our Surveys & Inspections app, you should have access to a dashboard we call the Rounds Dashboard. It's where we aggregate all open deficiencies that came out of a rounds and inspection plan that you manage. Now, for any survey category you can see a twelve month compliance trend chart to help you quickly view your latest compliance scores. Use the Compliance For filter at the top to limit the chart to a single survey category.
Security App Enhancements
- Your Security Daily Log dashboard can now be filtered! Click on the All Events link to apply a filter.

Duplicate action added to Rounds Templates. Great for identical rounds that happen multiple times per day.

Requests and Incidents now open in pop-up forms directly from the Daily Log timeline view.

Security App Lanched!
This update includes a number of fixes and improvements to our all new Security App! To find out more, including downloadable brochures and a snazzy overview video, check out this Security App Resources page.
Mobile Quick Reload Option
Sometimes when you're using mobile, new records are being added to TheWorxHub behind the scenes and they won't immediately appear in the mobile app until you begin to navigate around forcing it to refresh. We've simplified this process to retrieve new records by adding a Reload icon at the top of all Work Order lists as well as the main dashboard. Just tap this icon to force the app to fetch anything new.
Room Booking Billing Invoice Print
You can now print an invoice form for all your room booking billings. You'll always get a separate invoice page for each billable person including all line items. You can configure some of your billing settings, including a billing contact under Settings > Misc > Room Bookings.
To include your logo, visit Settings > Misc > More.
You can print this right from your Room Booking Billings dashboard.
You can also print the invoice from inside your Room Booking form Billings tab.

Improved validation around deleting template work orders. Now, if a Survey question has a linked work order template, a warning window will appear prompting you to unlink the template from the survey question before deleting the template.

Important Changes to Settings > Location
The Settings > Location area in TheWorxHub has suffered from slow loading for some time. This is a place where you could go to visualize your location hierarchy, make changes and add new locations. We're working on an overhaul to improve performance and have introduced two important changes.
Quicker Way to Add a New Location
Sometimes you just need to quickly add a new location that wasn't included in our initial setup. Rather than waiting for the Location Manager tree to load, you can use the Add Location subtab to quickly add a child location, or a top level location. This is way faster!
After you add your new location, it immediately appears as a link in the Recently Added Locations section at the bottom. You can use these links to pop-up the Location info form and add additional info such as Floor Plan type, Care Level or a location photo.
No Longer Edit Residents or Perform Moves Through Settings > Locations
For our senior living clients, some people were using Settings > Location to add residents, perform moves or update resident info. We've removed this functionality as it was prone to failure on this page. There is a prefered way to manage resident info and moves via Search > Location/Residents.
Driver Away From Work Calendar Blocking
For those using our Transportation app, you can now block off entire days or specific times of day when your drivers will be unavailable, for things like vacation days or personal appointments during working hours.
To specify away from work details for a driver, open their Staff form, expand the Away From Work panel and insert the start/end of their away from work event and save.
If you want to update the list of available entries on the Away From Work Reason pick list, go to Settings > Pick Lists > Away From Work Reason.
Now this away from work event is blocked on your transportation dashboard calendar driver view.
When you're assigning a driver to a trip, you see an alternate timeline view, and now this view also shows the blocked off away from work event.
If you attempt to assign a trip to a driver where the trip duration overlaps an area where that driver is away from work, you'll be prompted of the conflict. You can choose to override and assign anyway.
