FSD Sync
FSD Sync creates a connection between FSDirect and Event Manager. Events that are entered into FSDirect will come over to Event Manager. This function will only work for those Locations that have been synced, or mapped, between the two programs.
Enabling FSD Sync
- Click on the gear icon () to access the Site Administration settings page.
- Click on FSD Sync under Global Administration.
-
Check the box next to Allow event submissions. This turns on the sync and tells the system to send events from synced FSDirect Locations to Event Manager.
- Select an option for how Event Manager handles Organizations attached to events synced from FSDirect:
- Bring Organizations over as Categories: Select this option to bring over all organizations from the FSDirect events as Categories on the events in Event Manager.
- Bring Organizations over as Organizations: Select this option to bring over all organizations from FSDirect events as Organizations on the events in Event Manager. *Note: This will only function if the organizations have already been added to Event Manager.
- Bring Organizations over as Organizations and Categories: Select this option to bring over all organizations from FSDirect events as both Organizations and Categories on the events in Event Manager. *Note: This will only function if the organizations have already been added to Event Manager.
- Check the box next to Bring Event Tasks Over With Events if you would like for FSDirect event tasks to sync as tasks in Event Manager.
Syncing Tasks
When the tasks are synced from FSDirect to Event Manager:
- The Task Name field will populate with the Craft Description from FSDirect.
- The Priority field will be set to Medium when the task is synced from FSDirect.
- The Event field will populate with the event that the task was associated to in FSDirect.
- The Due Date field will populate with the start date and time from the event.
- The Assign To field will populate with the user assigned to the task in FSDirect. If there is no assignee in FSDirect, the task will not have one in Event Manager.
- The Task Type field in Event Manager will not be populated and must be defined manually.
- If a task is deleted in FSDirect, it will not be deleted automatically in Event Manager and must be deleted manually.
- The task Status will populate depending on the status of the task in FSDirect:
FSDirect Task Status Event Manager Task Status New New Task In Progress In Progress Complete Completed Closed Closed Declined Denied Void Closed On Hold Waiting For Info Waiting More Information Waiting For Info Pending Waiting For Info
- Enter the FSD user email and FSD user password for the FSDirect Account Owner.
- Click on Enable FSD Sync.
Syncing Locations
- After clicking Enable FSD Sync, a list of all FSDirect Locations will populate on the screen.
- In the drop down menu to the right of the FSDirect Location, select the associated Event Manager Site Name. *Note: If there are FSDirect Locations you do not want to include in the sync, do not select an Event Manager site in the drop down menu for those locations.
-
For the Sync to function properly, you will need to have set up your FSDirect account to have at least one separate Location for each Calendar Site you need synced.
-
More than one FSD Location can be synced to one Site, but you cannot have multiple Event Manager Sites associated with one FSD Location. For example, you could simply sync the FSD Location of Dude High School to the Event Manager Site of Dude High School. However, if you have multiple FSD Locations that are a part of Dude High School you could sync all of those locations to the Site of Dude High School:
-
FSD location: Dude High School -- Site: Dude High School
-
FSD location: Dude High School Auditorium -- Site: Dude High School
-
FSD location: Dude High School Field -- Site: Dude High School
-
- After you have synced all the FSDirect Locations needed, click Save.
Managing FSD Sync
- To modify this list of synced FSDirect locations, click Edit Locations. Make the necessary changes, and click Save.
-
If needed, you can re-sync your FSDirect events with Event Manager by clicking the Re-Sync button. This acts as a refresh button if you find some of your events have not come over from FSDirect. *Note: If you click the Re-Sync button, the system will overwrite all events that have been brought into Event Manager from FSDirect and will overwrite any changes you may have made to those events in Event Manager, such as pictures, categories, highlights, etc.
-
If you need to disable the sync, click Disable FSD Sync.
- Disabling the Sync means no more FSDirect events will come over to Event Manager. Any events that already synced from FSDirect to Event Manager will remain on the calendar.
-
You can always re-enable the Sync if needed, but you will need to map your locations again.
FSD Events in Event Manager
- When an event comes over from FSDirect, there will be certain fields that are not editable on the Modify an event form. At the top of every FSD-imported event you will see a message:
- Additionally, each field that is not editable in Event Manager will be marked with a message next to the field:
- When an event comes over from FSDirect, the FSDirect Organization listed on the schedule will be created as a Category in Event Manager. This Category is editable on the Event Manager event.
