Setting up tasks

Before you can begin adding tasks and assigning them to your events and users, you will need to set up task types and set a default task reminder. *Note: If you do not currently have access to this feature, please contact your Sales Representative or Client Services for more information.

 

To begin setting up tasks:

  1. Click Settings from the side navigation menu.
  2. Click on the Task Management tile under Site Administration.

Task types

The task type determines what categories of work a new task falls under. You are also able to determine default assignments and notifications based on the task type. There are two kinds of task types, Stock Types and Custom Types.

Stock task types

This is a list of predefined task types that are commonly used for facility management. To add a Stock Type for use:

  1. Click Add a Stock Type.
  2. Select the checkbox next to each Stock Type you want to use.
  3. Click Save to finalize the changes.

 

Custom task types

You are able to expand upon the list of stock task types and add other types of tasks. To add a custom type for use:

  1. Click Add a Task Type.
  2. Enter the name of your custom type.
  3. Select a user to automatically assign tasks of this type to. *Note: When you create a task for this type, the selected user will automatically fill in as the assignee on the task.
  4. Select a user to be notified whenever a task of this type has been completed or denied.
  5. Click Save to finalize your changes.

 

Workflows

You are able to define workflow routes for certain Task Types in Event Manager. These routes can be defined based on Location and can be assigned to an individual user or user group.

 

To add a new task workflow:

  1. Click on the Add a New Workflow button.
  2. Start typing or click the down arrow icon to select a Task Type and/or Location. *Note: You must select at least one Task Type or Location to be able to save the new workflow route.
    • If you'd like to add multiple locations to this approval process at once, click the Location Search button.
    • Check the box next to each location that should be included and click Save.

 

 

  1. Start typing or click the down arrow icon to select the Assignee for this Task Type.
  2. Start typing or click the down arrow icon to select the user(s) or user roles that need to be notified that tasks of this type have been completed or denied.
  3. Enter the Process Name for this workflow route.
  4. Click Save to finalize the changes or Save And Add to finalize the changes and begin creating a new workflow route.

 

Other settings

In the Other Settings panel, you can set a Default Reminder that allows you to set a time frame for email notifcations to go out prior to the task being due. The task's assignee will receive this default reminder as an email notification. You can also pick certain fields to be required for all Tasks and decide whether tasks should be created automatically for fixed features.

Default reminder

  • Click Add a Reminder.
  • Enter the number of days or hours before the task is due for the email notification to go out.

 

Required fields on tasks

  • Click on the toggle to Require Task Description for all Tasks, Require Task Type for all Tasks, or Require Task Priority for all Tasks. You will not be able to save a task without completing all fields marked as Required.

 

Create tasks automatically

  • Click on the toggle next to Automatic task creation for fixed features. This setting defines whether tasks will be created automatically when a fixed feature is selected for a location on the event request form.

 

Editing task type settings

Once you have added task types, you are able to further define the settings for those types.

  • Active: Use this toggle to make a task type active or inactive.
  • Default Assignee: Click Not Assigned or the Name of the Default Assignee to select the appropriate user.
  • Edit: Click this button to open the editable options for each task.
    • Automatically assign tasks of this type to: Select a user to have all tasks of this type be assigned to this user by default.
    • Notify this user of status changes for tasks of this type: Select a user to ensure that this user be notified whenever a task of this type has its status changed.
  • Delete: Click this button to remove this from the list of available task types.
