Service Provider Tasks

Task email notifications are automatically sent to Service Providers when maintenance services are selected on the schedule request form. Once the Service Provider receives the email, they can log in to Facility Schedule to complete the task. To set up when the task emails are generated and sent, see the Email Event Notifications section on the Account Settings page.

 

       Bright Idea: 

Tasks are typically assigned to users that are listed as Service Providers. Depending on the needs of your organization, tasks can also be assigned to anyone in the role of Administrator.

How to Complete the Task

  • In the Upcoming Events section on the home page, select the Location from the drop down menu, then click on the Refresh button.
  • Click on the event date displayed in red or click on Next 5 Days to find the event date.
  • Click on the Complete button when you are finished with the task.

 

In addition to the Upcoming Events section, you will also see your assigned tasks on the right side of the home page in the To Do Tasks section.

  • Click on Done to complete the task.

How to Reassign a Task

  • Click on the task description displayed in red in the To Do Tasks section on the home page.
  • Select the person you would like to reassign the task to from the Assigned To drop down list.
  • Click Submit to Save.

How to Create a Work Order

If you currently use Work Order, a Service Provider has the option to create a work order from Facility Schedule. In order for the Service Provider to have this option, they will need to be an Administrator, Supervisor, or Technician in Work Order.

 

  • In the Upcoming Events section on the home page, select the Location from the drop down menu, then click on the Refresh button.
  • Click on the event date displayed in red or click on Next 5 Days to find the event date.
  • Click on the Create Work Order button. The system will open another window which will display the work request in Work Order.

 

The FS Schedule section on the work order will contain the schedule details from Facility Schedule.

 

  • If no additional information needs to be added to the work order, either minimize or close out the window.
  • You can now mark the task Complete in Facility Schedule. *Note: If the task is marked complete in Facility Schedule, it will also mark the work order complete.
